Instructions for Authors

Submission of the Full Paper

Submission of the Full Paper

The conference committee has decided to submit the proceedings for inclusion in the IEEE Xplore library. This way, your publication will be available online for longer and will be easier to find by other researchers. In addition, an extended and revised version of the best papers can be published in the IAPGOS open access journal.

Please be advised that your article will be submitted for inclusion in the IEEE Xplore database if the following conditions are met:

  • Your article topic is within the IEEE Xplore Database scope, i.e. it concerns broadly understood engineering
  • The article will receive at least two positive reviews
  • The copyright form is filled and sent (more information about this soon)
  • The paper passes the anti-plagiarism check

The contributors must prepare the paper using the official templates linked below:

LaTeX and Microsoft Word Template

The best method of ensuring that your paper meets the format requirements is to copy and paste the article into the template file. The paper is required to be original, stating the main contributions of your work and to be written in English. All papers will be double blind reviewed.

General guidelines are:

  • Paper Length: Minimum of 2, maximum of 6 pages, including figures, tables, references, authors' names and affiliations
  • Paper Size: US letter (8.5 x 11 inches), A4 (210mm x 297mm)
  • Fonts: Please embed fonts used in your PDF file. Type 3 fonts are not allowed.
  • Upload File Format: PDF (.pdf)
  • Advised File Size Limit: 2.0Mb
  • Please do not add page numbers
  • Please do not apply security settings
  • Max. abstract length: 250 words
  • Authors must not put any name and affiliation information in the full paper (double blind review)

Submit Paper via EDAS

Submission of the Camera-ready Paper

Subsequent to the review process, accepted papers have to go through the following steps (please read the instructions carefully):

  1. Make sure to consider all reviewer comments in your camera-ready version and update the paper accordingly
  2. Do not forget to include all authors' names and affiliation in the camera-ready version
  3. Add the appropriate copyright clearance code notice (see Copyright Clearance Code Notice Instructions below)
  4. Proofread your source document thoroughly to confirm that it will require no revision
  5. Verify that your PDF is Xplore-compatible using the PDF eXpress validation (see PDF eXpress Instructions below)
  6. Fill the electronic IEEE Copyright Form (eCF). It is available through EDAS (Go to your paper in EDAS – click the "+" button next to Copyright form – then click the "IEEE Copyright Submission" button and follow the instructions)
  7. Specify the presenter of the paper in the EDAS system
  8. Upload the validated PDF to EDAS as the "Final manuscript"
  9. Register for IIPhDW

Copyright Clearance Code Notice Instructions

The appropriate copyright clearance code notice is to appear on the bottom of the first page of each paper according to the guidelines set forth in the Cataloging/Copyright Instructions for an IEEE Conference Proceeding. Detailed instructions can be found at:
www.ieee.org/publications/rights/index.html

The copyright notice should appear about 1 cm below the left column only on the first page. It should be aligned to the left with the same left margin as the column.

For papers in which all authors are employed by the US government, the copyright notice is:
U.S. Government work not protected by U.S. copyright

For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is:
978-1-7281-0423-2/19/$31.00 ©2019 Crown

For papers in which all authors are employed by the European Union, the copyright notice is:
978-1-7281-0423-2/19/$31.00 ©2019 European Union

For all other papers the copyright notice is:
978-1-7281-0423-2/19/$31.00 ©2019 IEEE

For LaTeX users:
Put the following code in the header of your document (before \begin{document}) and insert the appropriate copyright notice:

% Copyright notice
\IEEEoverridecommandlockouts
\IEEEpubid{
    \hspace{1mm}
    \makebox[\columnwidth]{978-1-7281-0423-2/19/\$31.00 \copyright 2019 IEEE \hfill}
    \hspace{\columnsep}
    \makebox[\columnwidth]{ }
}

In addition, add the following command somewhere in the second column of the title page:

\IEEEpubidadjcol

This pulls up the text in the second column to prevent it from blindly running into the Copyright notice. The desired output is shown in the screenshot below.

For Microsoft Word users:
In Word you have to replace the text in the existing footer of IEEE template, see screenshot below. The font should be "Times New Roman" in size 8 and should be in normal letters (not bold or any other formatting).

Poster Presentation Guidelines

The working language of the workshop is English, which will be used for all printed materials, presentations and discussions.

The available space of the poster board is A1 in portrait. At least one author must be present during the dedicated poster session.
